Assistant for HR division (f/m/d)
Department (external):  HR
Working hours (Posting):  Full-time, 38h/week

YOUR RESPONSIBILITIES

  • Managing the secretary’s office for the Head of HR, especially recording and monitoring business processes, handling correspondence, obtaining and supplementing missing information from the relevant departments, coordinating tasks for the area on behalf of the Head, maintaining and organizing the office filing system, procuring office supplies, and processing mail.
  • Planning and executing the Welcome Day for new employees, cooperating with internal and external partners such as HR Business Partners, occupational safety, quality management, data protection, compliance, and disability‑insurance providers.
  • Controlling the HR department’s communications in collaboration with corporate communications and maintaining the HR intranet site.
  • Handling correspondence from templates (e.g., contractual amendments, employment contracts, job postings, reference letters, etc.).
  • Collecting and processing information while respecting specialist documents (e.g., conducting research and preparing data, creating materials and visualisations for presentations and lectures, drafting minutes).
  • Coordinating and scheduling meetings with business partners, arranging conferences, travel, and visit programs domestically and abroad, handling related billing, and hosting visitors.
  • Managing the cost‑center budget, maintaining vacation plans and time‑sheet records, and overseeing the meeting rooms.
  • Preparing and organising the children’s holiday camp and children’s Christmas gifts, as well as senior‑citizen care activities.

MUST-HAVES

  • Completed a three‑year vocational training program as International Management Assistant or International Administration Manager.
  • Several years of professional experience managing a secretariat.

  • Strong communication skills, team orientation, intercultural competence.

Personal competencies

  • Self‑organisation, flexibility, reliability.

Professional competencies

  • Excellent knowledge of MS Office applications and SAP, confident written and spoken English, proficiency in a second foreign language.

Methodological competencies

  • Organizational skills, rhetorical abilities, solution‑oriented approach.

  • Handling of confidential documents.
  • Having the prerequisites for a valid security clearance (ZÜP) according to § 7 of the Aviation Security Act (LuftSiG). If you do not already hold a valid German security or reliability clearance, it will be applied for together during the recruitment process.
